Project Admin Assistant - Emaar Middle East - Saudi Arabia

- Diary management, Follow-up on travel arrangements, meeting schedules, booking meeting rooms.
- Drafting correspondence and production of all correspondence, including mailing / faxing / filing of correspondence.
- Frontline contact for incoming telephone calls and messages, vetting callers, and arranging appointments and meetings.
- Documentation management, receive / record all incoming mail, to protect department through DCC including drawings and distribute, as necessary.
- Maintain project files, according to standard procedures, in hard and soft copies, keep filing up-to-date and properly labelled and registered, for easy retrieval and archiving.
- Maintain drawing files in hard and soft copies, including drawing registers, also photo files for easy retrieval and archiving.
- Provide guidance on documentation and establishment of computerised documentation integration.
- Order office stationery and equipment consumables.
- Supervise junior support staff.
- Assist and coordinate with other line manager’s correspondence for signoff, other superiors and various departments, including accounting, to ensure the smooth flow of project correspondence.
- The job holder keeps the Sr. Manager Projects JG informed of ongoing relevant activities, developments and potential problems on a regular but informal basis.
- The job holder has a good deal of freedom to operate pro-actively in concert with the Sr. Manager Projects JG and present him with relevant data and solutions which shall ensure that matters which may affect the Department’s performance are identified, investigated and resolved.
- Preparation of Payment Certificate related to Project Payments.
- Internal Auditing.
- Self-starter with initiative, to handle all levels of contact.
- Excellent language skills, in particular, English.
- Ability to manager office affairs without fuss and must be well organised, tidy and courteous.
- Able to handle multiple tasks flexibly, and to cope with daily pressures of work demands, and deliver work in a timely fashion.
- Must have sound computer skills in all MS Office packages.
- Typing speed 40 - 50 wpm minimum.
• Good coordination and communication skills to manage the Document Control.
• Good computer skills
