Administrative employee (Central Sick Leave Registration service)


The European Patent Office in Munich is seeking an administrative employee *

 in Directorate 4.0's Central Sick Leave Registration service (1-year contract)
 (total contract term cannot exceed 36 months)

 The EPO's Central Sick Leave Registration service in Munich has the duties listed below. We are looking for a motivated staff member to strengthen our team.
Main duties
Recording sick-leave notifications
Updating the Lotus Notes database: checking notifications of sick leave, returns to work, and visits to doctors
Together with personnel department, dealing with any error messages due to conflict with other FIPS data (e.g. duty travel, training, parental leave)
Ensuring that doctors' certificates are supplied – if necessary by reminding the staff concerned – recording them in FIPS and archiving them
Setting up and administering an archiving system for sick-leave notifications
Telephone information for staff with queries
Entering data to produce statistics
Recording approved applications for spa cures
Scanning and electronic storage of medical documentation
Recording (in FIPS/Medgate) reductions in working hours and productivity on medical grounds
Adding up (and recording electronically) the absence days of staff on long-term sick leave.
Candidate profile

 The ideal candidate will have
good knowledge of the MS-Office suite (Word, Excel, PowerPoint)
skill in organising administrative tasks
ability to integrate into an existing team
highly developed communication skills
a friendly and service-oriented approach to clients
good knowledge of English.
Minimum qualifications

 Completed secondary education, or - in exceptional cases - equivalent professional experience. Working knowledge of official languages**.
 The successful candidate will be selected on the basis of qualifications and relevant experience, supplemented as appropriate by interview and/or tests.

 The interviews will be held in calendar week 5.
